Operations Manager, Bay of Plenty

Aotea Security is looking for an experienced Operations Manager to work alongside our regional and national teams in overseeing projects in the stunning Bay of Plenty region.

To be successful in this role, you will need to have:

  • Proven experience in overseeing multiple sized projects at any given time, from development, implementation and through to final delivery
  • Be process driven, adhering to known deadlines and able to plan for multiple outcomes
  • Understand branch strategic deliverables around project and monthly hours, revenue and material management
  • Experience in working alongside main contractors in aiding the timely procurement, and return, of materials and allocation of resource in order to progress projects to agreed timelines
  • Aid in the ongoing reinforcement of a strong company culture by knowing the team, their drivers and skillset and communicating clearly on any requirement needed
  • Work alongside the Service Coordinator to harness the full ability of the wider technical team.

Job Description

Job Title: Operations Manager

Purpose of the position

From start to finish, our Project team are responsible for the implementation, installation, and commissioning of medium to large projects. As the Operations Manager, you will be tasked with overseeing staff abilities, workmanship and the planning and oversight of all projects in the Bay of Plenty region, for both regional and national clients.

The Service team is integral to the success and reputation of Aotea Security (NZ) Ltd. Our Service team is the first response to requests, both urgent and planned, and are tasked with promptly rectifying issues with systems, or identifying and providing the key information and component/s required to return and rectify the problem.


The key focus of the role is to motivate, engage and empower the Project & Service Technicians to complete work in assigned time and budget and to the high expectations that we have at Aotea Security. You will have support via a Regional Technical Lead Technician, who will be your #2, as well as support from the Bay of Plenty Service Coordinator, Regional Manager, the national Estimation team and other senior team members across the organisation to help you flourish and succeed in your role.


Key Accountabilities and Duties

  • Ensure yourself and the team adhere to all Health and Safety directives, whether Aotea Security or clients, always and report all actions through the designated system.
  • Compile complete contract file and instructions for new contracts and assume overall operational control of each project following handover.
  • Ensure new contracts are setup correctly, with all information provided, reassess take-off and target completion dates.
  • Project scheduling, management, and timely procurement of stock to complete works in the designated time.
  • Understanding branch strategic deliverables around monthly revenue, debtors and profitability related to the WIP, this is to ensure prioritisation of resources and project close out is adhered to.
  • Financial control and performance of job profitability at a Gross Margin level, set targets with installation staff.
  • Monitor contract labour performance versus agreed targets and notify any variance.
  • Control of stock management and returns because of project close out – report to stock stakeholder of branch in a timely manner.
  • Engaging with National Project Team for weekly updates of works coming and jobs underway
  • Delegation of on-site management to the Technicians, including roll out and final handover and trust in their roles.
  • Relationship management with key clients, internal teams and more, across the entire region
  • Intimate knowledge of Project variations (as advised by client and/or Technicians) and raised promptly with clients for awareness and action.
  • Overseeing the skill matrix of the Project and Service team members, identifying areas of strengths and areas of focus and providing/arranging training as/when required
  • Arrange and hold regular meetings on site with Technician’s and clients to understand where a project is at and what/how long is remaining.
  • Escalate, when required, expected project and budget concerns to the Regional Manager and/or National Project Managers as soon as known.
  • Ensure resourcing on projects is adequate and project costs are kept within the quoted figures where practically possible. When costs are not met, you have communicated an acceptable rationale to your Regional Manager.
  • Oversee billing, preparation of claims and invoicing of jobs when due, and communicating this with the Branch Manager and potentially the Chief Financial Officer (if needed)
  • Oversee stock management and controls, whilst liaising with the Service Coordinator for overall Branch stock levels.
  • Undertake to provide timely and accurate review of estimation of projects within your region, with support from the Technical Lead and Regional Manager, to take into account regional constraints and knowledge to ensure quoting is as accurate as possible
  • Ensure to always keep clear and regular communication with internal and external stakeholders and that deadlines are set and achieved.
  • Strong customer service orientation, with regular communication (written, spoken or in face-to-face meetings when required) a key to success.
  • Oversee and manage your pipeline of work, staying in contact with opportunities, both open and closed, and ensuring prompt response to queries, both internal and external, to achieve agreed deadlines.
  • Value engineer solutions where economical pricing is required for strategic wins to maintain profitability.
  • Any other fair and reasonable request made of you.

Other Teams
You will need to work with other internal teams regularly to complete your and assist with their tasks. This collaboration is vital to the successful operation of the region.
